01 · 2:37 AM — YOUR OFFICE, STILL AWAKE

AI Office — built for contractors

Your company has a new
operating intelligence.

The back office a $2–10M roofing company can’t afford to hire. Your people approve every move. Albert, the AI Chief Operating Officer, watches sales, production and accountability, finds what needs attention, and drafts the next move for your team to approve.

Up close — the three we just flagged

Small misses.
Expensive endings.

Every dollar a contracting company leaks starts as something this small — a call at 2 AM, a lead nobody chased, an invoice nobody sent. This is what last night looks like when something is watching.

Annie · Front desk
Storm damage caller — answered, qualified, booked for 9:00 AM with your closest rep.

01 · The missed call that wasn't

A storm-damage caller who reaches voicemail usually calls the next company. Annie — our AI receptionist, in pilot — is being trained to answer, qualify, and book straight onto a real calendar.

IF NOBODY'S WATCHING → they call the next roofer on the list, and that's who replaces the roof.

LEAD AGE — DAY 11
11 DAYS
A
Albert · Operating partner
Stale lead surfaced — follow-up drafted, waiting in your approval queue for the morning.

02 · The lead going cold

Albert watches every lead's age and drafts the follow-up your rep should have sent — then routes it to a human to approve. Nothing sends itself.

IF NOBODY'S WATCHING → it dies quietly in the CRM, and you paid for that lead.

CLOSED — DAY 9, UNBILLED
DAY 9
A
Albert · Payments & collections
Job closed 9 days ago, invoice never sent — flagged for this morning's brief.

03 · The invoice that never went out

Albert's payments board (in Core) reconciles what's finished against what's billed and flags the gap before it becomes a cash-flow problem. No AI ever releases a payment by itself.

IF NOBODY'S WATCHING → you float the job interest-free and chase it in 90 days.

How it fits together

AI Office is the platform — where your data, workflows, and reporting live. The Hub is where Albert, your AI Chief Operating Officer, runs the show — with the production workflow (pipeline, calendar, crews, permits) built in from day one, so a signed job can run from sale through production on one subscription. Eleanor, Mikayla and Riley are add-on AI employees, each sold separately, that you add as your company grows; Victor (production) joins them once he's out of pilot. Start with the Hub. Build the office around it.

Start with the intelligence
running the company.

The Hub is the platform plus the executive brain: your dashboard, daily briefing, goals, revenue and production visibility, task accountability, knowledge library, bottleneck detection, and an approval center where nothing moves without a human.

CriticalKessler job blocked — material order is ThursdayDue today
Shingle selection still missing; the order window closes Thursday 3 PM. Victor (the production add-on) drafted the customer message — it's waiting in the approval queue.
Why it matters: missing the order window slips the install a full week and strands the crew.

Lead volume is on target; close rate dropped from 31% to 22% over three weeks. Two of three reps start the day without a written plan.
Recommendation (not a fact): review Spokane's pipeline in Friday's 1:1 — the slip started when the senior rep went on leave.

Why it matters: stale estimates close at a fraction of fresh ones; every quiet day costs odds.

Add-on · $500/mo — pilot, not for sale yet

Victor runs production —
readiness and risk flags on every job.

Core already carries a signed job through the Production Pipeline, the Production Calendar, crew assignments and permits. Victor is the add-on that manages it: readiness and risk flags, your order sheet and draft purchase orders, margin and job-cost reconciliation, building codes, a closeout check, Property Intelligence and the Sub Portal — flagging what's missing before it costs you a delay. He drafts; your production manager approves.

✓Readiness & risk flags — nothing enters production half-baked.
✓Builds your order sheet & draft purchase orders — a human signs every order.
✓Margin & job-cost reconciliation while the job is open, plus building codes.
✓A closeout check that's complete before money moves.
✓Property Intelligence (coming) — property files, walkthroughs and AI-flagged conditions — and the Sub Portal, your subs' no-login link to their jobs, paperwork and invoices.

One connected workflow

From opportunity
to completion.

Follow one job through the office — including the moment it would have quietly gone wrong.

Lead arrives

A storm-damage lead comes in at 8:14 PM

It lands in the pipeline with source, address, and urgency captured — not on a sticky note.

Your team responds

The appointment gets booked

Your current workflow books it — and when Annie's pilot graduates, she can take this handoff. Nothing here depends on her.

Albert

The estimate goes out, follow-up watched

Albert tracks the opportunity's age. If it stalls, a follow-up draft appears in the approval queue — a human sends it.

Sale

Contract signed — the handoff moment

This is where jobs usually fall into the gap between sales and production. Not here.

Victor · Production add-on

Victor receives the job and runs readiness

Scope, selections, materials, permit, crew, schedule, documents — checked before anything is promised.

Victor · Blocker found

"Color confirmed — Customer Welcome Call"

The color was never confirmed. The job stops here — visibly — instead of at the curb on install day.

Blocked — needs the customer
Human in charge

Your production manager approves the fix

Victor drafted the customer message; a named person approved it; the customer picked their color. Readiness passes.

Eleanor · Administration add-on

Closeout is complete before money moves

Sub invoices approved, sub insurance checked, warranty certificate and closeout paperwork assembled — with Eleanor locked out of ever releasing payments.

Albert reports

"Harmon closed. Invoiced same day. No open blockers."

You learned about the problem and its resolution in the same sentence of one morning briefing.

One coordinated team, not six bots — each AI employee has its own role, price, and honest availability. Albert coordinates whichever departments you enable.

H
"Our whole company runs on AI Office — the morning briefs, the follow-up chasing, production readiness, the paperwork. Things that used to slip just don't anymore. It's the difference between chasing the business and running it."
— Hailie · Founder & Owner, Peaks and Valleys Construction

Material connection: Peaks and Valleys Construction is our own roofing company. AI Office was built inside it, and its owners are connected to AI Office’s founder. This is not an independent customer review.

What it will never do

Capable, fast, and asking
before anything that matters.

✕No AI-drafted or AI-decided customer message sends without a named person approving it. (Fixed, non-AI system notifications — payment receipts and deposit invoices — still send automatically, same as any CRM's transactional notifications.)
✕No payment releases.
✕No material orders without sign-off.
✕Approvals, sends and data changes logged; every autonomy level set by you.
We think AI in your business should work like a great employee on their first week — capable, fast, and asking before anything that matters.

FAQ

The honest answers
to the hard ones.

Is this a chatbot?

No. It's an operating layer across your CRM, calendar, email and payments, in one Hub — with a team of specialized AI roles coordinated by one brain.

Do I have to replace my CRM?

The Hub becomes your CRM, and we do the move with you: GoHighLevel brings over contacts, pipeline and conversation history; Jobber, JobNimbus and AccuLynx bring over contacts and customer records; we help with the rest during setup. Then you're off the old system. No dual systems to keep in sync.

Will AI talk to my customers unsupervised?

No. Customer-facing messages are drafted and approved by your people.

What's it cost?

Core is $997/month, month to month, with unlimited users at one location (+$297/month per extra location). It includes Albert, your AI COO, and the whole sale-to-production workflow: CRM, proposals, e-sign, payments, the Production Pipeline and Calendar, crew assignments, permits, and time & labor. Founding seats are $797/month for 24 months with a $1,500 guided setup — ten seats, by application. Add-ons, each sold separately: Riley (talent & recruiting), Eleanor (sub invoices, compliance and closeout) and Mikayla (marketing) $500/month each. Victor (production, Property Intelligence and the Sub Portal) will be $500/month; he runs in our own roofing companies today and is not for sale yet. Annie, Ira and Mike are coming and not for sale yet. Self-implementation is free. Guided ($2,500) and done-for-you ($5,000) are one-time fees, and if you're not live in 14 days the fee is refunded. Unless a written promotion states otherwise, the first month is billed in addition to implementation.

Is Annie included with Albert?

No — Annie is a separate AI employee, currently in private pilot while we complete real-world call testing and quality controls. The Hub is valuable without her; when Annie is enabled, Albert monitors communication performance and includes it in your executive briefing. She is not for sale yet. Join the waitlist and we'll tell you when a seat opens.

How long is installation?

Live within 14 days of signup on guided or done-for-you setup, or we refund the implementation fee. It starts with lead intake and follow-up.

Who's behind it?

A team that built it inside our own roofing company, Peaks & Valleys, where it runs every day. You can watch it run live in the demo.
